Organizing work
Save a view for recurring work
Save filters, grouping, ordering, and visible properties as a named TaskShelf view, then reopen or favorite it for regular use.
Last updated
Open your team’s Tasks page and decide which work you want to revisit regularly.
Build a useful view
A saved view is a named way to find existing tasks. It stores the filters and display properties you chose. The matching tasks can change as people update their work.
- On the team’s Tasks page, use Filter to choose the work to include. For example, select High and Urgent under Priority for a review of important tasks.
- Open Display and choose Grouping and Ordering. You might group by Status and order by Due date.
- Choose the Visible properties you need, such as Assignee, Project, and Due date.
Name and save it
- Choose Save view in the Tasks toolbar.
- Enter a name that describes its purpose, such as High-priority review.
- Review the Shared with team toggle. It is on by default when saving from the team’s task list. Other supported pages may show Shared with workspace instead.
- Choose Save view to create the named view.
Return to the view
If the result is empty, check whether any tasks still meet the original conditions. For example, a high-priority task disappears from a High and Urgent view when its priority changes to Low.
- Open Views for the team where you saved it.
- Select the view by name. TaskShelf loads the tasks that currently match its saved filters.
- Use Favorite view, the star control in the view header, if you want to favorite it. Use Unfavorite view to reverse that choice.
Choose a name that explains the scope
A team view contains work from its team. Name views around the question they answer, such as Campaign tasks due this week or Unassigned work, so teammates know when to use them.
Use the filters to define membership in the view. Grouping changes how the matching tasks are arranged; it does not add tasks that fail the filters.
Remove a view you no longer need
The view header includes Delete view. Review the confirmation before continuing. A shared view disappears for teammates too, and deleted views do not go to Trash. Only the person who created a view can delete it.
